St Anthonys Glenhuntly Netball Club Inc Annual General Meeting 2021

The St Anthony's Glenhuntly Netball Club will be holding it's AGM this year via Zoom (see invitation below).

At the AGM all committee roles are declared vacant at this meeting and the election of new committee will be held as well as presentation of the financials for the year ending 31st May 2021.

Additionally, adoption of new Rules of Association for the Club will be voted on. The draft rules are available here and are an amendment to the previous rules which go back to 2001 and are no longer valid per Consumer Affairs Victoria. These updated rules were presented at the 2020 AGM but we did not have sufficient membership represented to carry the vote. Consequently we are including a Proxy Vote Form which we need you to complete and return nominating your team representative as your proxy so that we achieve 75% of membership voting either in person or via Proxy to carry the resolution.

or via the Proxy Vote Form attached as the representative will be deemed to be voting on behalf of team members via proxy to achieve minimum 75% representation.

We know that everyone is busy and it is particularly hard to rustle up support whilst we are all in lockdown but it is not fair to assume someone else is going to do it.

There are currently members on the committee that have served in excess of five years - their children are in their final years of school or have finished altogether. Speaking for myself - it's time for new blood....

These are the urgent ones as these incumbents have indicated they will definitely be stepping down at the AGM.

Registrations is an important role for our club 

Mee Chee is determined on getting the uniforms ordering process set up and new kit organised for existing teams so it's simply a matter of her handing over the process to a new person. The order process after this will then move online.

Equipment officer just needs to ensure teams have the equipment they require. There is a standard issue for each team and again, Mee Chee would be able to do a handover as to when and from whom she orders. It's basically keeping ice packs and bandaids supplied to teams plus kitting out new teams when required. So once per season really..

Obviously the Functions Officer hasn't got a lot to do at the moment but normally it is organising 2 functions a year. MVP/AGM & the end of year medal presentation. The Functions Officer would arrange the venue and ordering food. The committee always help out, it's just having someone in charge to direct traffic.

Obviously we would love someone to come on board as Club Secretary. Although it looks like more work than it is, it doesn't have to be. If we had enough committee members in other roles, such as someone as NetSetGo Officer - setting up and overseeing the running (not running it, just making sure it runs twice a year - being the point of contact for the schools, the coach and parents), another role would be website updates. Which would leave responding to correspondence - not even new player enquiries as they go to registrations - and forwarding on the info from CDNA. Karen has agreed to remain as Minute Secretary so they don't even have to do that. A New Teams Liaison Officer would also ease the burden as that frees up the registrations officer and involves making sure that new teams get off the ground, following up on previous enquiries, NetSetGoers, ensuring there is a team manager, coach and that they have all the information they need.

In an ideal word, anyone with a marketing background would be super welcome as I'm doing all that at the moment too. That includes images, social media posting, etc. Our website is super easy to edit and absolutely anyone could do it but if they had any kind of visual/digital image experience they would obviously do a much better job than me. And may suit one of our older players?
